Block Basic authentication prompts in Microsoft 365 apps

When it fails: Microsoft 365 apps can show Basic authentication prompts. Users can allow Office apps to display Basic authentication sign-in prompts, which send credentials in a reusable form and are a common phishing vector.

Description

The Baseline Security Mode setting Block Basic authentication prompts is turned on in the Microsoft 365 admin center. Microsoft 365 apps then refuse to open files from servers that only offer Basic authentication, and users cannot re-enable the prompts in the Trust Center.

In the Office Cloud Policy service, the matching policies are Allow Basic authentication prompts from network proxies and Allow specified hosts to show Basic authentication prompts to Office apps. They stay not configured or disabled, except for an explicit, reviewed host list.

The settings listed under Baseline Security Mode depend on the tenant's licences; this setting may not appear in every tenant. In that case, configure the two Cloud Policy policies above directly. This control covers Office client prompts; blocking legacy authentication protocols at sign-in is a Conditional Access control.

Rationale

A Basic authentication prompt asks for the user's password in a generic dialog that any server, proxy or attacker-controlled document link can trigger. Users cannot tell a legitimate prompt from a fake one, and the password travels to the server in a reusable form. Microsoft 365 apps block these prompts by default; enforcing the block by policy removes the user override that phishing documents ask for.

Impact

Files hosted on servers that only support Basic authentication (old WebDAV shares, some third-party document servers) no longer open in Microsoft 365 apps. Run the Baseline Security Mode impact report first, and migrate those servers to modern authentication or allow them by host name through Cloud Policy.

Audit

  1. Sign in to the Microsoft 365 admin center (https://admin.cloud.microsoft) as at least a Global Reader.
  2. Browse to Settings > Org settings > Security & privacy > Baseline security mode.
  3. Check that Block Basic authentication prompts is turned on (listed as applied).
  4. If the setting is not listed, sign in to the Office Cloud Policy service (https://config.office.com) and, under Customization > Policy Management, check the tenant policy configuration: Allow Basic authentication prompts from network proxies must be not configured or Disabled, and Allow specified hosts to show Basic authentication prompts to Office apps must be not configured or list only approved hosts.
  5. Fail if the setting is off, or if a Cloud Policy configuration allows Basic authentication prompts broadly.

Remediation

  1. In Settings > Org settings > Security & privacy > Baseline security mode, open Block Basic authentication prompts and download the impact report to find users and servers that still rely on Basic authentication.
  2. Migrate or allow those servers by host name (Cloud Policy policy Allow specified hosts to show Basic authentication prompts to Office apps).
  3. Turn the setting on. Role: Office Apps Administrator.
  4. No PowerShell cmdlet exists for this setting; the Office Cloud Policy service is the only alternative.

Rollback

Turn the setting off in Baseline security mode, or set the two Cloud Policy policies back to not configured.
